General Responsibility

Reporting to the Director, the Property Manager is fully responsible for managing the overall operations of the properties including commercial, residential, and short- term rentals.

The Property Manager is responsible for coaching & developing their team including the Property Administrators, Resident & Leasing Experience Coordinators, and Building operations and facilities team. The Property Manager is accountable for driving the financial goals and developing talent while having all properties in his/her market meet all quality standards. They will also be responsible for building local strategies to manage performance by knowing their Team Members, Customers/Residents, markets & communities.

In their role, the Property Manager is responsible for creating and maintaining alignment and collaborative relationships.

Specific RESPONSIBILITIES

Customer Service:

  • Ensure that a superior level of co-operation, service and support is provided to residents and tenants.
  • Ensure building standards are maintained to a high level and building staff and contractors perform their duties in a professional manner.
  • Resolve resident complaints and concerns in a timely fashion with a view to driving Resident retention through a superior level of customer satisfaction.
  • Ensure site-level staff receive support and training to be successful at achieving Valour Management Standards.

Operations and Leasing:

  • Oversee and manage assigned property management functions to improve efficiency and reduce operating costs.
  • Inspect the properties on a weekly/daily basis to monitor performance & ensure properties are maintained Valour Management standards.
  • Propose and discuss possible renovations or improvements.
  • Ensure that work has been satisfactorily completed and approve invoices.
  • Ensure standard processes & procedures in place to resolve issues relating to repairs and maintenance in a timely fashion.
  • Coordinate after-hours emergencies as required.
  • Responsible for maintaining & negotaiting renewals and setting occupancy/vacancy levels and targets.
  • Have knowledge of market rents and ability to set asking rents based on market conditions.
  • Have working knowledge of legislation pertaining to the Rental Housing Industry, Human Rights Code and Labor Standards Act

Leadership and Management:

  • Directly manage team including Property Administrators, Resident & Leasing Experience Coordinators, Building operations and facilities team
  • Responsible for planning, assigning, and directing work; for interviewing, hiring, and training Team Members; Team Member relations; mentoring and coaching.
  • Responsible for ensuring that Team members fulfill their responsibilities when providing timely and accurate information to other departments as requested (e.g., Asset Management, Capital & Development, Customer Experience, Finance, HCM, Marketing, etc.)
  • Analyze and resolve work problems or assist Team Members in solving work problems.
  • Initiate or suggest plans to motivate workers to achieve work goals.

Financial

  • Accountable for delivering the financial results and Key Performance Indicators (KPIs) against targets; overall financial and administrative review of assigned properties.
  • Review weekly vacancies/ availability reports; Review rents to ensure “minimum” market value.
  • Oversee collection of rents and tenant recoveries.
  • Responsible for ensuring rent rolls are accurate.
  • Review and approve leases and renewal leases.

Requirements

  • A minimum of 2 years of directly related work experience as an Administrative Assistant, Receptionist or in a similar capacity required.
  • Excellent computer skills, with working knowledge of Microsoft Office Suite.
  • Advanced knowledge of merge functions using Word, Excel, and Adobe.
  • Knowledge of office technology including printers, photocopiers, fax machines, multi- channel telephone systems and postage machine.
  • Exceptional communication skills both verbal and written.
  • Excellent multi-tasking and organizational skills.
  • Demonstrated customer service experience delivering exceptional customer experience in an administrative environment.
  • Excellent time management skills, capable of working in a fast-paced environment, performing ad-hoc administrative duties, as required.
